What the app stores, and where

Recordings are saved inside the app's own storage on your Mac while you record: your microphone and the audio of the meeting app, as separate files. Transcripts and notes are kept in a local database in the same place. Markdown copies go to a folder you choose during setup, and that folder is the only place on disk the app is allowed to reach.

If that folder is in iCloud Drive, Dropbox or another sync service, the files sync under your own account and that provider's terms. The app is not involved in that and cannot see it.

The one place text can leave

Turning a transcript into notes needs a language model. You choose which one during setup, and that choice decides whether anything leaves your Mac. Coach, the live help during a call, uses the same model.

Audio is never sent to a provider in any setup. Only transcript text, only for notes and Coach, and only if you chose a cloud provider. The Security page shows this as a live diagram.

What we do not collect

No analytics, crash reports, usage pings or device identifiers. We do not know how many meetings you record, which apps you dictate into, or whether you opened the app today. The only thing the app can send us is the feedback form in the menu bar, and only when you fill it in and press send. That message contains what you typed and nothing else.

This website sets no cookies and runs no analytics. The fonts are loaded from Google Fonts, which means Google's servers see a request for the font files when the page loads; nothing about you is attached to it by us.

Permissions, and why

Microphone

Records your side of the call and your dictation. Asked the first time you record or dictate. Closed when you are doing neither.

Screen Recording

macOS requires this permission to capture audio from another app. It is used for audio only. No picture of your screen is ever captured, stored or sent.

Accessibility

Direct download only, and only if you turn on automatic insertion for dictation. Used to type dictated text into the app you are using. The App Store version never asks for this.

Folder access

The one export folder you choose. You can skip this, and notes stay inside the app's storage.

Deleting your data

Delete a meeting in the Library and its recording, transcript and notes are deleted from your Mac. Delete the app and its storage goes with it. Your exported markdown files stay in your folder until you remove them. There is nothing to request from us, because we have nothing of yours.

Recording consent

Recording laws differ by country, state and province. During setup the app asks you to confirm that getting consent from the other people on a call is your responsibility. The app does not announce itself to them. Please take that seriously.

Children

NoteHand is a work tool and is not directed at children. Because it collects no personal information, there is nothing about anyone, of any age, for us to hold.

Changes to this policy

If a future version changes what leaves your Mac, we will say so here, in the release notes and in the app before it ships. The date at the top of this page is the last time the text changed.
